Annual Spending Plan

What is a spending plan?

A spending plan is a simple excel spreadsheet, that enables a fund adviser to plan with the Charity when they will submit a grant request in the year so that the cash is available if the application is successful. It should take just a few minutes to complete, if you have gathered all the relevant information beforehand.

In the final quarter of each financial year fund advisers will be required to consult their colleagues to identify innovative ideas that will have a positive impact upon human health in line with the type of fund that they advise. For care funds, this could be through new equipment, new facilities, new service or treatment or help for staff to attain skills and knowledge. For Research Funds this could be through new equipment or facilities for non-commercial research or to help staff disseminate their research findings.

Once costed, a fund adviser should contact their senior management team to agree if these ideas support the strategy and plans for the department and prioritise them. These ideas should then be listed in a spending plan for the charitable fund,.

The spending plan will have to be submitted to University Hospitals Coventry and Warwickshire Charity by a stated deadline (before the start of the new financial year). 

What if our plans change during the year?

You can update the spending plan during the year and submit this new version to the Charity. Please bear in mind that cash is put into the bank every 12 weeks, at the start of each quarter, so if you want to increase the value of the listed items, you should submit your revised plan at least 4 weeks prior to the quarter the changes are made.

How is the information used?

The trustees use the spending plan to ensure that every fund is actively supporting patient care. It is also used to plan the cash held in the Charity bank account - money that will be available to award grants from.  

This cash is made available every quarter (in line with the spending plans). This means if the Charity does not receive a spending plan from the fund adviser, cash will not be available to award a grant.

Listing an item in a spending plan does not indicate an award will be granted. You must follow the steps for making an application to the Charity for the request to be considered and awarded.

What if we do not use the cash  from our charitable fund?

Ideally because you have planned ahead you will submit a grant application for the item listed in the relevant quarter or you will submit  a new spending plan to advise us that your plans have changed. However if you do not do this, the money we have as cash in the bank will still be allocated to your charitable fund - it will not be used for another purpose.
